There are three templates involving 1-5 Steno centers, depending on the grant received:

• Grants from NNF Steno National Collaborative Grants.
• Grants from NNF Steno Collaborative Project Grants.
• Private and/or public funding, including NNF grants that are not specific NNF Steno grants.

In the templates, you will find more detailed instructions, including help texts in the margins.

On this website you can hear specific examples of considerations that needs to be made when completing the templates. (TBA May 2025)

In addition the "SUPPORT AGREEMENT" template must be entered with the companies who support the project financially or by products.

The purpose of the templates is to assist researchers to complete a collaboration agreement. All projects have elements that require specific project-related information.

As principal investigator/applicant, you need to complete as much as possible of the agreement. And if possible, have the agreement pre-assessed by the legal adviser at your  institution before the draft is sent to the relevant collaborators.

Your work on an agreement should start alongside the application process for grants.

This can help qualify your grant application. Be aware of the process of approval can be lengthy.

It can take several days or weeks to draft the documents for the agreement.

During the process, input will often be needed from collaborators and their legal/institutional support, which may delay the time before the agreement can be approved by the legal advisers.

It depends on which region you are employed in. E.g. in Region Midtjylland the department management, the principal investigator, as well as the head of the department at the Department of Clinical Medicine, Aarhus University must sign the agreement.

The agreement must be approved by the parties legal advisors. Depending on the type of project, this may involve legal advisers from the university, regions, and private companies.

In Aarhus, it is the Technology Transfer Office (TTO) at Aarhus University that represents both the university and the region regarding the collaboration agreements, while the data protection part under the collaboration agreement must be approved by the legal office at Region Midtjylland.

In most cases the parties approve the agreement gradually, as the agreement terms may go through multiple rounds of renegotiation. This can increase the process from several months up to a year.

• App. 2: Support Agreement (e.g., NNF grant, which is not a Steno grant, or a donation from the industry)
• App. 3: Timelines, Contributions, and Milestones
• App. 4: Sub-contractor Agreement (e.g., if an agreement is made with a laboratory)
• App. 5: Financial Terms (including budget)
• App. 6: Bank Details
• App. 7: Joint Controller Agreement (or other data processing documents)

It is determined by the applicant's/principal investigator's primary affiliation.

If the principal investigator has multiple affiliations (e.g. Aarhus University and Aarhus University Hospital), it is important to clarify where a potential grant should be administered and the conditions for the administration.

Involve your research management in case of doubt. Both the host institution and the collaborators must have project administrators assigned.

The templates have been developed by Steno Diabetes Centers for use in collaboration projects involving Steno centers/partners. It is possible to use the templates regardless the field of expertise.
